Introduction

In the interests of transparency and to abide by new guidelines from the EU General Data Protection Regulation (GDPR), this privacy statement describes how we, the Stichting OA Switchboard, collect data (including personal information), why we collect it, how we store it, and how we use it.

Who we are

OA Switchboard, a not-for-profit collaboration between funders, institutions and publishers to provide essential infrastructure, standards and back office services, is a stichting registered in the Netherlands. Our registered address is Prins Willem-Alexanderhof 5, 2595BE The Hague, Netherlands.

This website, oaswitchboard.org, is owned and run by OA Switchboard.

What information we collect about you

 

Subscription to our email mailing list

When you interact with OA Switchboard as a user of this website to sign up for our email mailing list, we collect information about you such as your name, organisation, your title, and contact details.

Particpant Applications

If you apply to become a participant of OA Switchboard via our website, or are already a participant, we hold other relevant information about you, such as details of your organisation’s activities and details relating to annual participation fee. This is described in more detail in our General Terms and Conditions.

If you register for an OA Switchboard webinar, we (or our host partner) will collect information in order to process your registration and to provide you with key information about the event. If you follow our social networking accounts on Twitter or Linkedin, these third parties may collect your data in order that we can communicate with you via these platforms.

How we collect and use information

OA Switchboard collects the information described above through this website such as via sign-up forms, through emails, surveys, telephone communications, and in-person meetings, and through third party social networking websites Twitter and Linkedin. Partners in our webinars host our webinar platform and collect information at the time registration.

We only send essential communications to our participants or people who have opted in to receive communications from us about organisational news or our events via our sign-up forms. Information about participants and applications for participation is stored by us in our secure storage that is accessible by OA Switchboard staff only.

How long we store information

In the case of communications about OA Switchboard news and events, we retain personal information in our records until you notify us that you do not wish to be contacted by us. Through Mailchimp, you are free to unsubscribe from our updates at any time.

The legal basis for holding your information

We collect the information described above on the basis of:

  • Your consent for us to use the information we have collected about you, as per Article 6(1)(a) of the GDPR

  • Our establishment of ‘legitimate interest’ to engage with you and enable you to participate in our activities, as per Article 6(1)(f) of the GDPR

In accordance with the new GDPR guidelines, you have the right to access personal information we hold about you. If you wish to exercise this right of access, please contact us at support@oaswitchboard.org.

 

Changes to OA Switchboard’s Privacy Statement

We reserve the right to revise our privacy policy at any time in accordance with changing guidance on the collection of data and privacy. Should we change this statement, we will update this page accordingly.
